Privacy Policy

A privacy policy is essential in order to be transparent with how your church collects, uses, and protects personal information. As part of our District vision to serve churches so that they may move with greater effectiveness, and in order to remain in compliance with evolving legislation, we have recently updated the District Office Privacy Policy.

This policy states “the District Office will require that each CPD church creates, uses, and maintains their own privacy policy, not inconsistent with the District Office Privacy Policy.” As the District Office policy has been vetted by our legal counsel for compliance with the provincial government’s Personal Information Protection Act (PIPA), we have created a template for your church to use in order to create or update your church’s privacy policy.

Below you will find the privacy policy template and are asking you to do the following with it:

  1. Use the template to create or update you church’s privacy policy. Whether or not your church has a privacy policy in place, we would encourage your Board of Elders to use the new template by filling in only the yellow highlighted areas with your church’s information. You may also include important church-specific information if you have an existing privacy policy, but please keep in mind that the template has been examined by legal counsel, and is sufficient as it stands.
  2. Send us a copy of your newly created or updated privacy policy by October 17, 2016. A copy will be placed in your church file at the District Office and will confirm to us you are in compliance with District Office and PIPA requirements.
  3. Implement your new or updated privacy policy. It is important that your church leadership is both familiar with your privacy policy and implements it responsibly. This is part of the overall leadership responsibility of your Board of Elders.

As a potential help to you, we have also included two templates for confidentiality agreements for permanent and contract employees. We don’t need a copy of these, but thought they may complement your privacy policy should you choose to use them.

A copy of a sample document used for notifying people of the collection, use, and disclosure of their information is also included.
